Cost Reduction through the Introduction of Printing Services and Device Optimization

After more than ten years of successful collaboration between Alca Zagreb and the Kyocera representative in Croatia, Xenon Forte – Zagreb, the purchase of Kyocera printing devices further expands the collaboration by transitioning Alca to a complete rental service for printers and multifunction devices with the MyQ printing solution, resulting in savings on printing costs and relieving the IT department.

Rental is worthwhile

The multifunction devices and Kyocera printers owned by the user were already outdated and worn out, causing frequent breakdowns and printing delays. At the same time, the decentralized procurement of consumables and service represented a significant consumption of time and reduced productivity for employees in the user’s IT department. All these were reasons why the user Alca opted for the rental service of new printing devices with the MyQ printing solution, which provided additional functionality for document printing security and the Follow Me service, as well as increased user satisfaction.

With the introduction of the printing service, Xenon Forte – Zagreb has successfully realized the relief of the IT department, which no longer needs to manage the procurement of consumables and maintenance as this is now the responsibility of the service provider. The entire fleet of printing devices is now under the supervision of the service provider, who can see the status of each device on-site, the toner status, and necessary service interventions at any time.

Increased printing security

The user Alca also owned dot matrix printers in its portfolio of printing devices, which were also outdated and caused constant delays. Maintaining these devices represented a significant cost. By switching from dot matrix printing to Kyocera laser devices, the user managed to achieve substantial savings on the funds previously allocated for maintaining dot matrix printers, thereby optimizing the number of printing devices.

The previous printing devices owned by the user did not provide the function of automated print tracking, nor did they have security features for user identification. As a result, there was no accurate insight into the volume of printing per user, device, and location, which made it impossible to timely plan the procurement of new devices, ensure print security, or plan printing costs.

Through the rental service, a print tracking service was established, enabling monitoring and tracking of document flow with the Follow Me function. User identification has been introduced on most multifunction devices, thereby increasing the security of document printing. By identifying at the device, the user only retrieves their document, which enhances the security of document flow within the company.

User satisfaction

The collaboration that began in 2010 has successfully continued to this day, but with an upgrade to a complete rental and maintenance service for printing devices with the MyQ printing solution.

The previous devices owned by the user have been successfully replaced with new printers and multifunction devices from the service provider, relieving the user’s IT department of the organization of service and procurement of materials and devices. Monitoring of print volume, increased print security, and cost oversight have been enabled, which affects optimal planning of the annual printing budget.

Ensured user satisfaction due to achieved savings in time and costs of service quality has led to a constant increase in the number of devices rented according to the growing needs of the user during the contract period.
